Terms of service
Last updated: [DATE]
These terms apply when you use ZyroBooks, the online accounting service provided by [REGISTERED BUSINESS NAME], [ADDRESS] ("we", "us"). By creating an account you agree to them. If you use ZyroBooks for a company, you confirm that you are allowed to accept these terms for it.
The service
ZyroBooks lets you keep your company's accounts online: invoicing, inventory, payroll, banking, reports and tax returns. We may improve or change features over time. If we remove something important you rely on, we will tell you in advance.
Your account
- Give accurate details when you sign up, and keep them up to date.
- Keep your password private. We recommend switching on two-step login.
- You are responsible for what happens under your account and for the people you invite to your company, including the access you give them.
- Tell us straight away at support@zyrobooks.uk if you think someone else has used your account.
Free trial
Each new company gets a free 30-day trial with every feature. No card is needed to start. When the trial ends, you need an active subscription to keep using ZyroBooks for that company.
Subscriptions and payment
- You can pay for a subscription inside ZyroBooks, by bank transfer or by card.
- Bank transfers are activated once we have checked the payment. Card payments are processed by [PAYMENT PROVIDER].
- Each payment extends the company's subscription by the period shown when you pay. Subscriptions do not renew automatically.
- If a subscription ends, access to that company is paused until a payment is made. Your records are kept, not deleted.
- [REFUND POLICY - e.g. "Payments are non-refundable, except where the law requires otherwise."]
Your data
The records you put into ZyroBooks belong to you. We use them only to provide the service, as explained in our privacy policy. Company admins can download a complete copy at any time, including after a subscription has ended, [FOR HOW LONG, e.g. "for 90 days"].
Tax, compliance and professional advice
ZyroBooks performs calculations and prepares figures, such as tax returns, payroll deductions and withholding amounts, based on the information you enter and the settings you choose. It is not tax, legal or accounting advice. You remain responsible for the accuracy of your records and for everything you file with tax authorities. Tax rules change: check the figures, and consult a qualified accountant or tax adviser before filing.
When you submit an invoice to the FBR through ZyroBooks, it is sent on your instruction, using credentials you provide.
Acceptable use
Do not use ZyroBooks to break the law, to record transactions intended to deceive tax authorities or others, to try to access other companies' data, to interfere with the service, or to send spam. We may suspend accounts that do.
Availability
We work to keep ZyroBooks available and your data safe, including nightly backups. Occasionally the service may be unavailable, for example during maintenance. We do not guarantee it will always be uninterrupted or error-free.
Ending your use
You can stop using ZyroBooks at any time. We may suspend or close an account that breaks these terms, after warning you where it is reasonable to do so.
Our liability
[LIMITATION OF LIABILITY - have a lawyer draft this for your jurisdiction. It usually limits liability to the amount paid in the previous 12 months, and excludes indirect losses, without excluding liability that cannot legally be excluded.]
Changes to these terms
If we change these terms in a way that matters, we will tell account holders by email or inside ZyroBooks before the change takes effect.
Law
These terms are governed by the laws of [COUNTRY / JURISDICTION], and its courts have jurisdiction over any dispute.
